Job Description

We have a position for a Employee Relations Sr. Specialist with one of our clients in Remote for an initial contract duration of 7 months. US citizens and all those authorized to work in the US are encouraged to apply.

The Workplace Environment (WPE) Sr Specialist is a member of the Employment Practices team and provides support on various workplace environment issues and requests for Client. This position will have the responsibility of focused operational support of the company’s Drive Safe program to ensure compliance in accordance with the company’s Motor Vehicle Record policy. This role by processing, analyzing, documenting, tracking the business outcomes related to the Temporary Role Adjustment process and coordination of applicable administrative leave processes. In addition, this individual will provide support to other Workplace Environment programs relating, but not limited to, mergers & acquisitions (M&A), employee record management, pre-employment and in-job accommodation, unemployment claims processing.

This role will work closely with the Workplace Environment Sr. Leader and lead to ensure all operations are met and audited. Partnerships with divisional teams include Global Employment Practices team, Employee Service Center, Legal to resolve any issues and drive a consistent, equitable, and positive experience for Client employees in line with our company values. 

Primary Responsibilities

  • Act as a champion for compliance, helping to interpret company policies and processes, ensure consistent application and alignment with company priorities.
  • Support the development, implementation and administration of operational compliance procedures and policies.
  • Assist leads with developing presentation and communication materials that may involve revision, development, and/or re-design of existing processes and procedures.
  • Partner with Workplace Environment leads to ensure processes are maintained according to applicable policy, practice, or regulation.
  • Serve as operational liaison to the Workplace Environment Lead POC for the Temporary Job Adjustment program.
  • Responsible for the administration of applicable guidelines and workflow processes aligned to the pre-adverse sub programs of Temporary Job Adjustment and Administrative leave to ensure continuity of business operations for the in-scope population.
  • Coordinate and track the requests for administrative leave due to non-compliance with the Employee Service Center and applicable stakeholders to ensure appropriate employment status via systems.
  • Coordinate and track the requests for termination due to non-compliance with the Employee Service Center and applicable stakeholders at the conclusion of the Drive Safe process.
  • Manage the Pre-Adverse Pay application and Audit in accordance with the defined operational guidelines.
  • Manage and escalate any general questions related to Client workplace programs related to Temporary Job Adjustment, Pre-adverse pay and administrative leave process following the defined escalation path(s). 
  • Responsible handling of hardy copy and electronic confidential documentation and information. Related to all Client workplace programs supported by Workplace Environment when/where applicable. Programs may include Administrative Leave, Temporary Job Adjustment, Accommodations, Unemployment, Records fulfillment, etc.
  • Use tools like Workday, Service Now, and others to document information for cases.
  • Provide follow-up and assistance to other team members, HRBPs and strategic partners to meet service-level agreements (SLAs).
  • Recommend areas for process improvement based on daily activities to team and leadership.
  • Other duties as assigned and required to support the Workplace Environment departmental initiatives. 

Job Requirements:

Qualifications

  • HS Diploma/GED and 5 years of experience in human resources, compliance, or related field; or minimum 7 years of equivalent education and experience in related field required.
  • Proficient in Microsoft Office, including Excel, PowerPoint, and Word
  • Strong time management, multitasking, and organizational skills
  • Basic to intermediate knowledge of state and federal employment laws
  • Ability to communicate at all employee levels (exempt, non-exempt, corporate, field)
  • Able to work independently and with a sense of urgency and prioritization
  • Excellent verbal and written communication skills
  • Capable of applying sound judgement and discretion when handling sensitive information
  • Ability to collect, understand, interpret, and share data
  • Ability to work successfully in hybrid environment other than periodic required travel (5-10%)

Target years of experience:       

  • HS Diploma/GED and 5 years of experience or BS/BA with 3 years or if no HS/GED 7 years experience in relevant field

What are your top 3-5 MUST HAVEs OR REQUIRED skillset: HR compliance experience (ADA, Leaves of absences, records handling), experience with systems such as Workday, ticketing systems (i.e Service Now, Axiom) proficient in Microsoft 360 (Outlook, Word, excel)  Self starter, Works well in group and individual settings.  

Preferred

  • BA/BS plus 3 years related experience.
  • Experience with Workday, Service Now/or other web-based case management system preferred
  • Bilingual (English/Spanish) a plus
  • If 100% virtual, do you have a specific location/ time zone requirement? EST time zone support 8-5;
  • Some flexibility in hours depending on resource local timezone.
