We have a Contract position for "Executive Assistant II" with one of our direct clients in Atlanta, Georgia for initial contract duration of  12+ months. No third party candidates considered for this position. US citizens and all those authorized to work in the US are encouraged to apply.

Job Description

The Client is hiring an Executive Assistant who will provide administrative and clerical support to the Senior Vice President of Technology Engineering, in addition to the Technology Engineering department.

Primary Responsibilities and Essential Functions

  • Calendar and time management: schedules resources such as people, meetings, appointments, rooms, equipment, or other resources
  • Prepares presentations, reports, and other documents using word processing, spreadsheet, and presentation software packages
  • The first point of contact for VP and other team members; answers telephone calls, takes messages, responds to questions, and directs callers to appropriate parties
  • Maintains and updates or creates databases and/or database information
  • Codes compile, and files correspondences, records, documents and reports according to an established system
  • Performs administrative functions such as ordering department supplies, and coordinating equipment repair
  • Takes and prepares notes of meetings, conferences, and similar proceedings
  • Sorts and distributes mail and packages to appropriate parties
  • Greets and assists visitors and arrange for escorts, as necessary
  • Makes travel arrangements, prepares, checks and processes expense reports
  • Gathers and arranges materials and relevant information for assigned project or person
  • Prepare, organize, and maintain documents and files of a complex or confidential nature, track budget expenditures, manage invoice process and point of contact for the accounting process
  • Types letters, memoranda, and reports from drafts and proofreads and reviews documents for grammatical and numerical errors
  • Maintains and tracks department headcount and expense budget
  • Codes and processes invoices
  • Coordinates space booking and travel for group meetings.
  • The highly proficient skill level in excel and power point
  • Has the ability to anticipate needs. Constantly looking ahead with the foresight to understand help manage the time of the executive
  • Self Starter, Has the ability to see the big picture and does not need constant supervision. Capable of independent thought and action
  • Strong Organization skills.  Has the ability to bring order to chaos.

  • Prepares, checks, and processes expense reports;
  • Gathers and arranges materials and relevant information for assigned project or person;
  • At lower levels, may operate a telephone switchboard with numerous extensions;
  • At lower levels, may focus primarily on data entry.
  • At higher levels, may prepare, organize and maintain documents and files of a complex or confidential nature, may track budget expenditures

Typical Training / Experience - HS diploma, GED or relevant work experience; Technical certification or Associates degree may be preferred and/or required in some areas; 5-7 years of experience in related area of responsibility Dept/Org Scope & Impact - Senior support roles highly experienced in area of responsibility; Performs all of the standard and some specialized more complex aspects of the function; increases department or area impact Problem Complexity - Applies advanced skills to resolve complex problems independently; May modify processes to resolve situations Autonomy - Under limited supervision, relies on experience and exercises independent judgment to determine best approach to achieve desired outcomes. The course of action is often determined by interpreting procedures and policies; Work typically involves a periodic review of output by a supervisor/manager or direct 'customers' of the process Knowledge - Thorough knowledge of tasks and responsibilities.
